Terms & Conditions
Please review the terms and conditions relating to this
reservation. Your reservation to use one of our condominiums or beach homes
signifies your agreement and acceptance of the Terms & Conditions listed on
this website.
Renter must be 25 years of age to reserve a unit and
check-in. We have a fiduciary responsibility to the owners of each condo and
resort and must ask for photo ID.
Deposits & Payments
For reservations made 30 days or more prior to check-in a $300.00
non-refundable deposit is required. A credit card is required for the deposit.
Total payment is due 30 days before check-in. For
reservations made within 30 days of arrival, the entire amount is due at the
moment of reservation.
Damage Deposit
In lieu of
a cash Damage Deposit, an amount of $200 will be authorized on your credit
card, but not charged, thirty days prior to check-in. The authorization for
this charge is held against your credit card’s credit limit until the unit is
inspected after your departure. With a clear inspection, the $200 Damage
Deposit authorization will be released. If there are damages or extensive
cleaning charges reported on the unit, those funds will be collected from your
credit card. Additionally, Renter hereby authorizes Emerald Coast Resort
Management Group, LLC to charge the credit card for the cost of repairs,
replacement, services, telephone charges or extra cleaning for all damage,
breakage and/or loss incurred during his/her stay. In the event of damage to
the premises, its equipment, furniture, or carpeting, Renter shall be
responsible for damage costs exceeding the security deposit, including
collection costs and attorney’s fees. Documentation detailing excessive damages
and a list of repair expenses will be provided to the renter, unit owner and
legal authorities.
Fees
A fee of $35.00 will be charged for all returned checks.
Cancellations & Refunds
If you cancel your reservation 30 days or longer prior to
the date of your scheduled arrival, all money collected by Emerald Coast
Resorts Management Group will be returned to you, minus the $300.00 reservation
deposit.
If you cancel your reservation 29 days or less prior to the
date of your scheduled arrival, Customer will forfeit all monies collected by
Emerald Coast Management Resorts Group, unless another guest reserves unit for
same time period and original rate.
All notice of cancellation must be in writing or emailed to reservations@ecrmg.com
Should the owner of any property elect to remove their
property from our rental program, the guest shall not hold Emerald Coast
Resorts Management Group, LLC liable. In such an instance, the guest will be
relocated to comparable accommodations determined by the rental agency. If
comparable accommodations are not available, the guest will receive a full
refund.
Emerald Coast Resorts Management Group, LLC is not
responsible for events beyond our control, e.g. inclement weather, maintenance
issues. Optional travel insurance may be purchased at the time of making
initial reservation payment. Travel insurance guarantees that in the event of a
medical emergency or weather hindrances, you will receive a full refund, less
the administration fee. Please ask a reservation specialist for additional information
on travel insurance.
Check-In / Checkout
Upon receipt of your payment, your Reservation Confirmation
will be emailed to you. Enclosed will be the office address with directions.
Renter must sign for keys in person.
Check-In is between 4:00 PM and 6:00 pm.
If you are a late check-in please call 850-236-7107 for lock
box instructions.
Check-Out is 10:00 AM. No exceptions!
Renter and Renter’s entire party must vacate the property
and return the keys to the office not later than 10:00 am. Failure to check out
on time could result in a $50 late fee. For lost keys, $25 will be charged. All
home and condos are cleaned and inspected upon your departure and the cost is
included in your rental fee.
Home & Condo Equipment
All homes and condos are privately owned and equipped for
basic vacation needs. Bed linens are provided. Towels are provided for all
rental properties managed by Emerald Coast Resorts Management Group, LLC. Kitchen
utensils and a starter supply of soap and paper products are made available
for all rentals. You will need to bring or purchase additional supplies.
Telephones are provided. Local calls are free. Use a calling
card or dial collect to place long distance calls.
Maintenance problems in the home or condo will be handled in
a timely and professional manner. The rental rate will not be adjusted due to
any malfunction of equipment, which includes TV’s, VCR’s, DVD’s, air condition
units, hot water heaters, stoves, refrigerators, door locks, etc.
Maximum Occupancy
Each property has a specific maximum overnight occupancy.
Take note of the maximum number of guests allowed for an overnight stay in the
homes and condos before making your reservation. Some resorts STRICTLY limit
the number of wristbands or other means of identifying guests to the number of
sleeping guests allowed in each unit and make no allowance for additional
guests.
Gatherings
Our properties are located in residential areas and are
rented for personal vacation and family use only. Parties and other large
gatherings are not allowed in individual units. Violators risk forfeiture of
their deposit, rental fees, and eviction. Units are closely monitored during
Spring Break each year and documented evictions have occurred in some resorts
for overcrowding and partying in individual units. While we encourage young
adults to reserve our condominiums to enjoy the beach and the surrounding areas
and venues of Spring Break entertainment, Emerald Coast Resorts Management
Group strives to provide clean, secure and comfortable condominiums for the
quiet enjoyment or our clients and guests and will not tolerate annoying,
unruly or uncivil behavior.
No Smoking
All homes and condos are Non-Smoking! No exceptions -
$500 fee imposed for cleanup and freshening of the unit after a smoking
violation is discovered. Please do not reserve one of our units if you plan to
smoke in them. The owners of our units are adamant about the No Smoking
policy and we have a fiduciary responsibility to see that their concerns are
met and dealt with appropriately.
Pet Policy
Some of our condos are pet friendly, and are clearly noted,
but most of them do not allow pets and charge a $300 fine if discovered. This
is because many of our guests are allergic to pet dander and we must use
extraordinary methods to clean the unit after a pet is discovered in the unit.
Additionally, some resorts are Not Pet Friendly for all units and impose their
own fines and fees if they are discovered.
Cleaning
Renter agrees to maintain the cleanliness of the premises
during the occupancy and to leave the premises in good condition upon
departure. Long term rental requires a monthly cleaning service that is covered
in the rental price.
Additional Provisions
The agent may enter the premises at any time in the event of
emergency, but will use its best efforts to give 24-hour notice for normal
maintenance or sales inspections. During Spring Break, the unit may be
inspected during the course of the week to be sure that the occupants are
cooperating with the rules related to excessive overnight guests, smoking and
parties.
Disclaimer
Although each property will be completely equipped for
rental purposes, we cannot accept responsibility for aesthetic conflicts. We
reserve the right to change units for any reason.
Furthermore,
the Renter agrees that Emerald Coast Resorts Management Group, LLC shall not be
liable to Renter, Renter’s guests, invitees or any other person for any injury,
loss or damage to any person or property on or about the rental premises.
Renter shall hold Emerald Beach Resorts Management Group, LLC harmless and
indemnified from and against all loss or damage occasioned by use, misuses or
abuse of any part of or fixture on the premises, surrounding areas and from or
against any omission, neglect, or default of the Renter, his/her guests or
invitees. The Renter acknowledges that Emerald Beach Resorts Management Group,
LLC acting solely in the capacity of Agent for the property owner, assumes no
liability thereunder.
